Agenda Item Brief: Over the course of the past 12 months, the City has managed a project to upgrade safety features within City Hall. The original project fell below the City Council approval requirements. Changes late in the project took the total spend over the current Council approval requirement ($25,000), requiring City Council approval of the final change amount.
Background: In late 2011, a project was identified by the Risk Management Division and City Manager’s Office for an upgrade/enhancement to the security systems in City Hall. The necessity for the upgrade became apparent when the building needed to be evacuated earlier that year due to an electrical problem that caused smoking in an electrical transformer. The City contracted with RFI Communications who is a contractor available under a NV State contract for the identified work and has been used in other City facilities. Enhancements to security and notification systems were identified and the initial contract was awarded for $23,831.00. Enhancements included additions to the building's panic button and alarm notification systems.
Analysis: As is typical in installations of this type, additional work was identified in the course of the project, requiring additional parts and labor. This minor change order for $1,456.00 raised the final contract value to $25,287.00, beyond the approval limits defined in the Sparks Municipal Code. This item seeks approval of the change order amount of $1,456.00.
