Recommendation: Staff recommends that the City Council approve the contract with Reno Tahoe Construction for fire hydrant system repair.
Financial Impact: Variable will be based upon each incident, for repairs not covered by Risk, the Fire Department has $21,000 available in Program 100401, Account 603507.

Agenda Item Brief: Consideration and possible approval of a contract with Reno Tahoe Construction for on-call fire hydrant system repair through June 30, 2014. Staff recommends approval.
Background: Historically, the City has contracted with a company to facilitate repairs to fire hydrants that are in need of repair due to damage or are in need of replacement due to age. The contractor (Mike’s Trenching) that was previously utilized for this purpose went out of business last year. Early this fiscal year, Andy Echeita was contacted by the fire department to solicit quotes for a new contractor. The quantities used for quoting this project are based upon a normal year for repairs/replacement. Based upon the informal quotes received Reno Tahoe construction can provide this service for the best value.
Analysis: The fire department manages a site improvement budget for the purpose of replacing aging or obsolete fire hydrants as well as making no fault repairs to the hydrants and associated piping. The fire department also, through risk management, coordinates the repair and/or replacement of fire hydrants that are damaged (primarily by vehicle accidents). Utilizing a single contractor for repair and/or replacement of fire hydrants allows for consistency in cost, quality of work, and single point coordination. It also saves time by not having to solicit bids for separate repairs.
Alternatives: 1. City Council could approve the contract to Reno-Tahoe Construction as outlined by staff. 2. City Council could reject the contract with Reno-Tahoe Construction, and provide direction to the City Manager.
Recommended Motion: I move to approve a contract with Reno Tahoe Construction for on-call fire hydrant system repair through June 30, 2014.
