Agenda Item Brief:

Consideration and possible approval of a contract for the GERP Multi Use Field Concrete Installation Project, to Valley Concrete, in the amount of $77,878.50.  The existing landscape rock surrounding the multi use field presents weed control issues for maintenance staff and the loose rock regularly gets tracked on to the field, ultimately reducing the lifespan of the synthetic field turf.  This project will replace the drain rock perimeter with concrete sidewalk to mitigate the maintenance issues and improve the aesthetic appearance.  Staff recommends approval.



Background:

The multi use field was constructed in 2008.  The perimeter of the field was lined with a five-foot-wide landscape rock transition with the intent of separating the synthetic field turf from traditional landscaping.  Over time, the rock has created weed control challenges and consistently gets tracked onto the synthetic field turf.  Replacing the rock perimeter with concrete sidewalk will mitigate the weeds and minimize maintenance issues, while providing a separation between the natural landscaping and the field turf.  



Analysis:

The project estimate was less than $100,000 so an informal quote process was used to determine a contractor.  Three (3) informal quotes were solicited of which two were received at City Hall on June 14, 2016.  Quotes ranged in cost from $77,878.50 to $82,460.00.  Valley Concrete is the lowest quote for this project with an amount of $77,878.50.  The quotes originally contained a $12,000 Force Account which was determined to be excessive.  The Force Account was subsequently reduced to $7,000.  The attached quotes reflect the reduction in Force Account.  A quote recap is given below for Council’s review.

  1. City Council could approve the contract as outlined by Staff.
  2. City Council could reject the contract and provide direction to the City Manager.


Recommended Motion:

I move to approve a contract with Valley Concrete, in the amount of $77,878.50.
