Title: Consideration and possible award of the City Hall IT Server Room HVAC Project to Southland Mechanical Services, in the amount of $38,892.

Recommendation: Staff recommends that Council award the City Hall IT Server Room HVAC Project to Southland Mechanical Services, in the amount of $38,892.
Financial Impact: $38,892 in Capital Projects Fund 1404. Project #13-1041B IT Server Room HVAC Project was not in the approved FY13 CIP. Budget for this project will be moved from approved FY13 CIP Project #13-1041 Fire Station #1 Security Fencing Project which will be re-scoped and brought back to council in the future.

Agenda Item Brief: Consideration and possible award of the City Hall IT Server Room HVAC Project to Southland Mechanical Services, in the amount of $38,892. This project will include the purchase and installation of a Liebert CRV server room HVAC unit in the City Hall IT room.
Background: The existing IT Server Room at City Hall does not have sufficient HVAC cooling for the equipment. This past summer during July the HVAC system failed and the servers shutdown due to overheating. Engineering, Maintenance, and IT staff worked together to determine the best alternative to provide additional cooling to the Server Room and allow for some redundancy.
Analysis: Based on review of the existing system, it was determined to keep the roof top units in service, but add an HVAC system designed specifically to attach to the servers. Staff met with three contractors to request informal quotes for the City Hall IT Server Room HVAC Project. The quote had a base price with six options the City desired to obtain pricing on. Two contractors provided informal quotes and the third contractor did not submit a price. Based upon review of the quotes, the Maintenance and IT staff propose to do the Base price with the additional options for the Intellislot Web Communication Card, Cable Leak Sensor, and Dual Float Condensate Pump. Alternatives: 1. City Council could award the City Hall IT Server Room HVAC Project as outlined by Staff. 2. City Council could reject the City Hall IT Server Room HVAC Project and provide direction to the City Manager.
Recommended Motion: I move to award the City Hall IT Server Room HVAC Project to Southland Mechanical Services, in the amount of $38,892.
