Title: Consideration and possible approval of a sole source purchase Sports Lighting for Golden Eagle Little League Field Expansion, to Musco Lighting, in the amount of $116,675.

Recommendation: Staff recommends that Council approve the sole source contract to purchase Sports Lighting for Golden Eagle Little League Field Expansion, to Musco Lighting, in the amount of $116,675.

Financial Impact: The Golden Eagle Little League Field Expansion is an approved project in the FY11/12 CIP. $116,675 for Sports Lighting for Golden Eagle Little League Field Expansion will be made available via a budget augmentation in FY13, and will be encumbered in Account 604060 Program 12-3502.

Agenda Item Brief: Consideration and possible approval of a sole source contract to purchase Sports Lighting for Golden Eagle Little League Field Expansion, to Musco Lighting, in the amount of $116,675. The purchase of this Sports Lighting will be for construction of two new Little League fields and to match the existing lighting system already at the facility. Staff recommends approval.

Background: The existing Little League Park area at Golden Eagle was completed in April 2007. The city mass graded the area behind the two little league fields for future construction of two additional fields. The entire Golden Eagle complex sports lighting system was constructed using Musco Sports Lighting. Council approved the FY 11/12 CIP which included the construction of these two additional fields in May of 2011. The construction of the site improvements is being bid under a separate contract and would include the installation of these lights.

Analysis: To maintain a single sport lighting system with one Control Link Control & Monitoring system staff obtained a sole source quote from Musco Lighting. The Control Link Control & Monitoring system allows for City Staff to operate all field lights via a phone uplink and notification of any lighting failures. Additionally two of the existing lights will become a shared pole for lighting of the two new fields. A copy of the quote is attached for the Council’s review.

Alternatives: 1. City Council could approve the contract, to Musco Lighting as outlined by Staff. 2. City Council could reject the contract, to Musco Lighting, and provide direction to the City Manager.

Recommended Motion: “I move to approve a sole source contract to purchase Sports Lighting for Golden Eagle Little League Field Expansion, to Musco Lighting, in the amount of $116,675.”
