Title: Consideration and possible approval to purchase one New Kubota KX080-4 Excavator from Ahern Rentals in the amount of $99,223.64.

Financial Impact: $99,223.64 in Motor Vehicle Fund 1702. $958,000.00 was approved for project #17-7500, Vehicle & Equipment Replacement Plan in the FY17, and $855,868.85 of budget authority is currently available. $ 90,493.63 of replacement funds have been collected in this fund for this purchase. General Fund annual maintenance and repairs costs will increase by $0

Agenda Item Brief:

Equipment Services is requesting authorization to spend $99,223.64 to replace Caterpillar loader/backhoe unit #723F.

Background:

This request is for the replacement of Caterpillar loader/backhoe unit #723F. This vehicle is at the end of its useful life as current maintenance costs are exceeding the worth of the vehicle for the Drains Department. This purchase was deferred from FY16 budget due to lack of funds. When replaced with this new excavator, vehicle #723F will be sold at auction at a later date.

Analysis:

In sourcing this vehicle, if approved, the city would be using the joinder provision allowed under NRS 332.195, and purchasing this vehicle utilizing the National Joint Powers Alliance Contract No. 070313-KBA. Utilizing existing bids have historically been the most competitive. Utilizing the “joinder” provision allows the city to precisely define the vehicles needed while foregoing the need to formally bid the item.

Alternatives:

1) The City Council could approve the purchase as outlined by staff.

2) The City Council could deny this purchase and provide direction to the City Manager

Recommended Motion:

I move to approve the purchase of one New Kubota KX080-4 Excavator from Ahern Rentals in the amount of $99,223.64.
