Agenda Item Brief:

Equipment Services is requesting authorization to spend $161,924.22 to replace one loader used in various maintenance activities around the City.

Background:

This request is for replacement of a loader #736D for the Maintenance division. This piece of equipment has reached the end of its life cycle, and now the maintenance costs have exceeded its value.

In preparing the budget for FY2016 the vehicle replacement plan included $150,000.00 to refurbish #736D, however in sourcing a vender and getting quotes for the work we were made aware of an opportunity to purchase a new loader for close to the price of refurbishing the old one.

Analysis:

In sourcing these vehicles, if approved, the City would be using the joinder provision allowed under NRS 332.195, and purchasing this equipment utilizing the NJPA contract # Q-00003521. Utilizing existing bids have historically been the most competitive. Utilizing the “joinder” provision allows the City to precisely define the vehicles needed while foregoing the need to formally bid the item.

Alternatives:
  1. Council could approve this purchase as outlined by staff.
  2. Council could deny this purchase.
  3. Council could direct staff to provide alternatives to this purchase.

Recommended Motion:

I move to approve the purchase a loader from Bobcat of Reno in the amount of $161,924.22
