Title: Consideration and possible approval to purchase servers and storage area network (SAN) equipment for the Truckee Meadows Water Reclamation Facility (TMWRF) from Summit Partners in the amount of $52,942.

Recommendation: Staff recommends approval of purchasing servers and storage area network equipment for TMWRF’s VMWARE infrastructure from Summit Partners in the amount of $52,942.
Financial Impact: $52,942 in appropriations is contained in the Fiscal Year 2011-2012 Truckee Meadows Water Reclamation Facility budget under Capital Outlay within the operating budget. This expense will be charged to Account 604070, Equipment and Furnishings, in Program 131502, TMWRF IT. Following quarterly reconciliations between the Cities of Sparks and Reno it is expected that the overall impact will be $15,882 for the City of Sparks and $37,059 for the City of Reno.

Agenda Item Brief: The VMWARE servers and SAN equipment are the primary equipment that handles all aspects of TMWRF’s business functions. This equipment is critical for the continuation of uninterrupted usage of TMWRF’s business applications and its numerous permit/non-permit related databases.


Background: The original servers and storage area network equipment were installed and put into service in February 2007. The life cycle of this equipment was estimated to be five years and was slated to be replaced in February 2012. Currently certain spare parts are no longer available for purchase through the manufacturer. In addition, due to TMWRF’s increased data usage requirements, the current system has reached its maximum capacity.

Analysis: Several companies sell/install VMWARE infrastructure equipment and services and competing software. However the staff at TMWRF is most knowledgeable with VMWARE software. VMWARE is the industry leader and is the used by City of Sparks IT. We recommend a sole source of the equipment and installation to Summit Partners due to the following reasons. 1. Summit Partners is an HP and VMWARE authorized dealer and have excellent discount and pricing on the equipment. 2. Summit Partners was the equipment vendor and installer for the City of Sparks’ VMWARE upgrades earlier this year and has proven to be very efficient and knowledgeable.

Alternatives: 1. Council could direct staff to provide other alternatives. However, possible consequences could include a total loss of business applications and all databases data.

Recommended Motion: I move to approve the purchase of servers and storage area network equipment for TMWRF from Summit Partners in the amount of $52,942.
